| Oracle | Legacy | Oracle E-Business Suite | ERP Financial | ERP | n/a | 2013 | 2018 |
In 2013, The University of Alabama at Birmingham upgraded its Oracle E-Business Suite to Release R12.1.3 as the institution's ERP Financial platform covering both university and hospital financial and HRMS functions. The upgrade execution window ran from August 2012 to February 2013 and focused on R12 table structure changes and accounting architecture differences with the prior Oracle 11.5.10 release.
The implementation concentrated on Oracle E-Business Suite functional areas including GL Sub-Ledger Accounting and Oracle Payables. Work streams included upgrading financial reports and solutions into R12.1.3, modifying multiple custom forms and reports to align with new R12 table structures, and testing multiple GL Subledger setups to verify accounting outputs across R12 and 11i versions. Proofs of concept were developed to demonstrate best practice options for adapting existing custom solutions to R12 enhanced functionality.
Payment and supplier processing was reworked as part of the ERP Financial upgrade, with the payment process and check printing solution modified to use XML Publisher. Payment administrator configurations for the Payment Processing Request were implemented according to UAB requirements, and the custom supplier interface solution was updated to match R12 data models. These changes linked core payables workflows to the revised GL Sub-Ledger Accounting processes.
Operational rollout included training and enablement for the existing technical team, with targeted sessions and sample queries illustrating R12 differences and the impact on customizations. Mr. Singh provided configuration guidance, hands on testing of SLA setups, and validation of accounting outputs, while delivering implementation options and proofs of concept for governance of custom solution adoption. Oracle E-Business Suite remained the central ERP Financial application supporting finance and HRMS operations across the university and hospital environments.

| Equifax | Legacy | Equifax LawLogix Guardian | HR Compliance | HCM | n/a | 2014 | 2014 |
In 2014, The University of Alabama at Birmingham deployed Equifax LawLogix Guardian as its centralized HR Compliance system to manage Form I-9 workflows and electronic records. The University of Alabama at Birmingham uses Equifax LawLogix Guardian as the HR Compliance application supporting I-9 verification, onboarding notifications, and retention of proof-of-eligibility records for staff and student employees. This implementation positioned Equifax LawLogix Guardian as the authoritative repository for I-9 data within campus administrative processes.
Implementation focused on configuring the Equifax LawLogix Guardian I-9 management module to capture employee identity and employment eligibility evidence, to generate compliance notifications, and to maintain audit trails and access controls aligned with federal requirements. Operational procedures were codified so that when a Social Security card arrives, staff must present the physical card to the Records Office for an update to the Form I-9 record in the Guardian database, and the system sends guidance emails from perfectcompliance.com to individuals to complete outstanding onboarding steps. The configuration supports electronic retention of Form I-9 records and generates the notification workflow needed to drive administrative completion steps.
Operational scope centered on the UAB Records Office on the second floor of the Administration Building, with business functions impacted including HR records management and payroll eligibility processes. Governance was enforced through a records update protocol requiring in-person presentation of the physical Social Security card and updates inside Equifax LawLogix Guardian, ensuring the University captures required documentation before continuing pay processing. The implementation therefore ties the Equifax LawLogix Guardian HR Compliance instance directly to university procedures that preserve payroll continuity and maintain a compliant I-9 audit trail.
