Oracle Legacy Oracle PeopleSoft Payables AP Automation ERP n/a 2008 2009
In 2008, University of Queensland implemented Oracle PeopleSoft Payables for AP Automation as part of its UniFi PeopleSoft Financials environment. UniFi is UQ's mandated financial processing system used to process and record financial data and to support monitoring, administration and reporting through the UQ Reportal. The implementation establishes Oracle PeopleSoft Payables as the transactional spine for supplier invoicing and payments within Finance and Business Services. The Oracle PeopleSoft Payables module was configured to handle invoice and payment processing workflows, including matching of three elements purchase orders, receipts and invoices to surface exceptions and strengthen payment controls. The module enables generation of Australian dollar payments via electronic funds transfer and cheque, and foreign currency payments via wire and draft, and produces remittance advices for suppliers. Supplier master data management functions were implemented to allow Finance and Business Services to create, approve and maintain supplier records. Operational integrations include feeding core financial information to the UQ Reportal for reporting and budgetary management, and alignment with eProcurement, Purchasing and Accounts Payable transactional flows within UniFi. Governance and operational ownership sits with Finance Client Support Services, Finance and Business Services, and the Enterprise Applications team in IT Services. Enterprise Applications act as system administrators, they review and update user security, resolve workflow issues, investigate system functionality and manage updates, patches and fixes while providing best practice solutions to functional areas. Technical enhancements are prioritized and planned quarterly through collaboration between Finance and Business Services and the Enterprise Applications team, with Finance Client Support Services as the contact for enhancement, integration or functionality requests. Users are directed to the Financial Reporting and Disclosure policy and the Current staff website for information on access, training, support and workflow procedures. The configuration centralizes AP Automation within Oracle PeopleSoft Payables and embeds it into UQ's financial control framework.
