In 2023, University Ghent implemented SAP Concur Expense as its Expense Management solution to digitize a predominantly paper based expense ecosystem that generated 40,000 reports per year from 6,800 employees. The deployment targeted core administrative and academic populations including professors, researchers, approximately 1,000 secretariat staff who manage submissions, and the central finance team responsible for project accountability and reimbursement flows. University Ghent operated roughly 1,200 corporate cards that required daily reconciliation previously handled manually.
SAP Concur Expense was configured to capture receipts via mobile app screenshots and to enforce embedded expense rules specifying which cost types are allowed under institutional and external funding constraints. The implementation emphasized end to end traceability for every document, reducing manual follow up by enabling complete electronic evidence linked to each expense line. Concur’s rules engine and receipt capture capability were central functional modules in the rollout.
Flexso, the SAP partner and system integrator on the program, developed a bespoke connector between SAP Concur Expense and the university specific SAP project accountability module, delivered as a proof of concept within three months. The connector routes booked invoice data and evidence into project accounting so that charged expenses are immediately available for external financier reporting and project level accountability. Concur’s daily sorted card feed was integrated to link corporate card transactions automatically to submitted evidence.
Operational governance included focused communication and hands on training for secretariat staff who then cascaded adoption to professors and researchers, which supported rapid user acceptance. The new workflows centralized expense intake, validation, and project charging across finance and research administration, replacing a paper intensive process that previously saw seven out of ten reports submitted incompletely or partially incorrectly. The project scope remained concentrated on expense reporting and project accountability workflows and relied on the custom Flexso connector to meet the university’s multi layered funding and regulatory constraints.
