Operationally the SmartSheet implementation was tightly coordinated with the council ECM repository and with Pathway for formal certification approvals and permitting. Processes were sequenced so that SmartSheet captured application intake, inspection scheduling and task handoffs, and Pathway was used for formal processing of approvals and permits, while ECM retained documentary records and OSSM resource libraries.
Governance included data cleansing and iterative workflow testing at every stage, internal webinars and training on SmartSheet, and collaboration with IT to refine operational processes. One explicit outcome was a refined approval notice process that was reduced to five days through system and process adjustments, and the SmartSheet Project Portfolio Management deployment became an integral operational tool for the Environmental Health section.
