In 2015 Wellpath implemented Microsoft Dynamics GP as its ERP Financial platform to centralize corporate financial operations and provide a single system of record for accounting and transactional finance. The implementation was executed under the Corporate Applications Manager in Nashville, TN and was scoped to sit within Wellpath's enterprise corporate applications portfolio that includes financial, payroll, HCM, legal, collaboration and compliance systems.
Microsoft Dynamics GP was configured to deliver standard ERP Financial capabilities such as general ledger, accounts payable, accounts receivable, cash management and fixed assets, aligned to corporate chart of accounts and position control processes. The deployment was integrated into a broader HCM and payroll estate, with explicit, documented integrations to Kronos HR, ADP Payroll, Kronos Timekeeping, iCIMS Recruiting and WellPath Position Control to synchronize workforce and payroll financial postings.
The Corporate Applications team defined and implemented enterprise integration between Microsoft Dynamics GP, WellPath clinical systems and customer systems, and also connected the ERP Financial system to document and contract management platforms including Docuphase and Conga, plus risk and learning systems such as Origami Risk Management and HealthStream. Architecture and operational design emphasized centralized interfaces and orchestration for financial and workforce data flows, supporting cross-application transaction automation and reconciliations.
Governance and operational ownership were established within the newly formed Corporate Applications administrative and support team, which grew to support more than 25 departmental and enterprise applications. The team provided ongoing configuration management, incident resolution and process alignment across finance, payroll, HR and clinical functions, and notably rescued a failed Great Plains ERP implementation project while successfully onboarding multiple enterprise applications alongside Microsoft Dynamics GP.

In 2024 Wellpath migrated payroll from ADP Workforce Now Payroll to UKG Pro Payroll (ex Ultipro Payroll), implementing the Payroll application across its payroll processing operations. The transition targeted biweekly payroll for a 2,000+ multi state employee payroll population managed by the central payroll team within a company headcount of 13,500.
Configuration work for UKG Pro Payroll (ex Ultipro Payroll) concentrated on the core payroll processing engine, tax withholding and multi state tax calculation, payroll preview and audit workflows, ACH processing, manual check and pay card payout configuration, input validation and exception handling, and payroll reporting. The implementation emphasized payroll preview audits and computed gross wage checks to enable processor level correction prior to payment runs.
The cutover replaced ADP Workforce Now Payroll in April 2024 and included data reconciliation and handoffs with Wellpath HR and Benefits teams to align employee tax elections and benefits deductions. Payroll administrators executed validation of input data for missing tax data, active hourly employees with no hours, and cross foot checks as part of the migration and initial payroll cycles.
Operational governance incorporated quarterly training at site locations, role based processor training, and escalation protocols, with Payroll Administrator III staff leading processing and training when supervisors were not available and onboarding new processors. Historical payroll controls at Wellpath produced decreased pay discrepancies through targeted report analysis and improved employee satisfaction, and those established controls and training routines informed the governance and rollout approach for the UKG Pro Payroll deployment.

In 2014, Wellpath implemented Bottomline Legal-X to support its Legal Time and Billing environment. The deployment provisioned Bottomline Legal-X as an invoice scrubbing service embedded into legal expense workflows for the Risk Strategies and litigation operations, establishing a central validation layer for attorney fee and expense invoices.
Configuration focused on invoice scrubbing, fee auditing, transaction validation, and reconciliation processes, aligned with standard Legal Time and Billing functional terminology. The Bottomline Legal-X implementation was used to validate and audit attorney fees and legal expenses, manage self-insured retention amounts and settlement checks, and produce sanitized financial data for downstream reporting.
Operationally, Bottomline Legal-X operated alongside existing litigation management systems and reporting workflows, supporting reconciliation between invoice-level transactions and carrier loss runs produced from litigation systems such as Risk Qual and iVOS Sedgwick. The implementation supported the Risk Strategies department and claims/litigation teams, feeding cleaned invoice data into payment and ledger processes and enabling more consistent report generation and loss run reconciliation.
Governance and process changes were embedded during rollout, including a data clean-up initiative in preparation for migration to a new database, development of written procedures, and training and mentoring of temporary and new staff. The Bottomline Legal-X deployment was positioned as a controls and compliance layer within the Legal Time and Billing stack, improving auditability of legal spend and supporting ongoing process improvement.
