In 2018 WorkSafe Victoria implemented Oracle Cloud EPM, using EPBCS as the core EPM planning and reporting application. The finance leadership accelerated EPBCS delivery with Pivot2 Solutions to have the planning environment live within a seven week window to support FY20 budgeting and reporting needs.
The Oracle Cloud EPM deployment delivered a structured planning and reporting solution called OPAR, encompassing full Income Statement, Balance Sheet and Cash Flow models for actuals and driver based planning. Functional modules configured included variance reporting across actuals, forecast and budget, workforce reporting and planning by employee by cost centre, automated government banding and salary on cost calculations, KPI dashboarding for government investment reporting, and structured hierarchies to enable flexible ad hoc reporting.
Integrations were implemented to load data from the trial balance and payroll source systems into EPBCS, removing manual upload bottlenecks and making financial information immediately available for analysis. Operational coverage focused on the finance team across WorkSafe Victoria, with 20 finance staff trained on the OPAR solution, and the application used for budgeting, forecasting, reporting and workforce planning functions.
Governance and process changes were staged so the EPBCS rollout preceded the larger ERP conversion, enabling the finance team to gain familiarity with the Oracle platform and to surface requirements for chart of accounts redesign. Dynamic reporting aligned to established hierarchies and integration processes were instituted to establish a single source of truth for month end and ad hoc analysis.
Outcomes delivered as part of the Oracle Cloud EPM implementation included a completed planning and reporting suite within seven weeks, elimination of a 40 minute wait to generate trial balance data by making results immediately available, removal of manual month end report assembly through SmartView refreshes and FR reports, and the capability for finance to manage multi format analysis from one trusted data source.
