AES Corporation Utilities 9600 $12.7B United States Workgrid Workgrid Assistant Employee Experience 2021 n/a In 2021, AES Corporation implemented Workgrid Assistant as part of a targeted Employee Experience program to reduce app sprawl and centralize employee notifications, communications and lightweight transactions. The project began with a pilot phase intended to validate use cases and accelerate adoption within AES’s hybrid digital workplace. The Workgrid Assistant configuration prioritized Employee Experience capabilities including aggregated feeds, one way and two way notifications, workflow approvals, a chatbot interface for simple transactions, targeted communications organized as To do’s and To know’s, and pulse surveys. The implementation emphasized feed-based experiences surfaced in existing touchpoints and configured approvals and simple workflows to reduce interaction steps, moving from six click approval flows to three click completion for selected use cases. Workgrid Assistant was provisioned to surface through the corporate intranet, a mobile app, and a Microsoft Teams integration that appears in the left side Teams navigation with app badging and bot-driven feed interactions, and is discoverable via the Teams app store. The Workgrid platform was integrated to aggregate touchpoints from enterprise systems AES explicitly uses, including SharePoint, ServiceNow, Workday, SAP Ariba, Concur, Salesforce and ADP, with Workday Learning and PowerBI noted as candidate integrations for subsequent phases. Governance and rollout combined personas and user journeys co-developed by IT, HR and Communications, an iterative pilot in Brazil to collect high value feedback, and stakeholder engagement to address data protection and transaction ownership concerns. The program adopted a learn as you go approach, starting small with two to three capabilities to build administrative proficiency and manager advocacy, while using targeted communications and demos to bring hesitant stakeholders on board.
Liberty Mutual Insurance Insurance 50000 $49.4B United States Workgrid Workgrid Assistant Employee Experience 2017 n/a In 2017, Liberty Mutual Insurance implemented Workgrid Assistant as a central element of its Employee Experience modernization program. The deployment addressed a digital workplace that had historically relied on email, Novell and Windows NT file shares and large ERP back-end systems, shifting toward a user-centric hub that consolidated employee tools and information. Workgrid Assistant was configured to act as a central hub of information and task orchestration, consolidating administrative workflows so employees no longer needed to log into multiple back-end tools to complete routine tasks. Functional capabilities implemented included a unified task and notification layer, elevated communications outside of email to reduce overlooked items, and mobile and collaboration-oriented access patterns that aligned with contemporary consumer user experience expectations. The implementation surfaced and orchestrated tasks from multiple enterprise systems to a single user interface, reducing context switching for employees across departments. Operational coverage targeted the enterprise digital workplace and administrative functions, extending to HR and IT related processes and business operations that required frequent employee interaction with back-end systems. Governance and process changes centered on centralizing workplace communications and consolidating administrative workflows under the Workgrid Assistant platform, which enabled standardized notification and task routing. The project delivered explicit outcomes stated by the client, including time savings for employees, significant efficiencies and cost savings, increased employee engagement and improved retention, while reducing reliance on email as the primary communication channel.
