In 2021 Cimpress plc completed Phase 2 of a company-wide OneStream XF deployment, establishing OneStream XF as the centralized EPM platform for financial consolidation, reporting and planning. Phase 1 of the OneStream XF implementation concentrated on financial consolidation and automated aggregation of data from each business unit, while Phase 2 delivered planning capabilities. The organization configured budget aggregation, people planning, capital planning, thing planning and investment planning modules within OneStream XF, and added account reconciliation workflows and business-unit level cubes to allow local data loads and internal reporting. The OneStream XF solution was also extended via the vendor Solution Exchange to consolidate a number of previously disparate applications into the platform.
The deployment included explicit integrations to source systems, notably a direct connect to SAP for Cimpress's largest business, Vistaprint, and ingestion from multiple finance source systems across the group. Data orchestration was automated so that Cimpress could load and consolidate hourly during the close cycle, reducing prior data load times from approximately four hours to about five minutes and enabling up to the minute reporting. The implementation architecture relied on centralized cubes per business unit and a single EPM application layer to support standardized reporting and pushed reports to teams.
Archetype Consulting served as the implementation partner and led the project that began in February 2020, continuing remotely through the Covid 19 pandemic, with user training starting in October 2020 and Phase 1 going live in November 2020. Governance included centralized status dashboards for close tracking and an Executive Finance view into task status, rapid ticketed support and quick vendor-driven upgrades that reduced maintenance overhead. The deployment covered cross-functional operational scope including Finance, R&D, commercial sales, channel development and marketing, with distinct entity planning approaches for China using a top-down model and the United States using a bottom-up model that collects input from non-finance leaders. Archetype Consulting served as the implementation partner for the project, executing the OneStream XF configuration, dimensional design and user experience for program-driven and consolidated plans.
Governance and workflow changes were implemented to support a bottom-up corporate budgeting process and rigorous executive review cycles. The platform supported multiple budget revision iterations, rapid aggregation of changes for leadership review, and production of a board deck for approval, while dashboards and a single unified platform reduced training complexity and standardized planning workflows across stakeholders.
Outcomes explicitly observed after go-live included positive feedback from non-finance users, greater agility in aligning drug development to finance performance and cash requirements, and delivery of a unified, near real-time view of the company for leadership. FibroGen reported that OneStream XF exceeded expectations ten months after go-live, and the implementation established a foundation to expand into consolidation, SEC reporting and tax provisioning within the EPM platform.
