Configuration emphasized transaction ingestion from corporate card feeds, item level expense reconciliation, automated expense auditing and duplicate invoice detection workflows, and policy compliance review queues. Visa Spend Clarity (ex Fraedom Expense) was used to validate card transactions, route exceptions for investigation, and provide structured evidence for manual reconciliations carried out by Accounts Payable staff. Integration work included reconciliation links into ACCs Oracle invoicing and ledger processes, supporting verified invoice posting and AP reconciliations from expense data. Governance and rollout activities reflected finance led ownership, including a secondment of an Accounts Payable Co-ordinator to the project to perform duplicate invoice audits, review purchasing card legitimacy and investigate flexi-purchase exceptions, which embedded the Expense Management application into existing AP and procurement workflows.

The deployment resulted in more than 1,230 process content pages being fully documented within Nintex Promapp, covering key operational workflows and supporting consistent client service delivery. Governance changes included establishing ownership, version control and approval workflows to support ongoing process management and continuous improvement. ACC reports outcomes such as a single source of the truth, a more positive process culture, promotion of consistent decision making and improved access to process information for staff and clients.
