In 2016, Agilysys deployed AvidStrongroom to standardize accounts payable workflows. The AvidStrongroom deployment served as the companywide AP Automation platform and was positioned to centralize invoice intake, approval routing and payment orchestration for the finance organization. The initiative tied into an existing highly customized NetSuite and OpenAir application footprint used by finance and services operations.
Configuration work emphasized invoice capture, automated routing and approval workflows, payment processing, vendor record management and archival of AP documents, consistent with AP Automation capabilities. NetSuite administration responsibilities supported the configuration, including creation of custom fields, roles, forms, workflows, saved searches and KPIs to align ERP posting and reporting with AvidStrongroom processes. Testing, release deployment and production monitoring were part of the operational cadence, with on-demand troubleshooting handled by in-house NetSuite administration resources.
Integrations were implemented between AvidStrongroom and enterprise systems explicitly supported in the environment, including NetSuite, OpenAir, Avalara for tax, AvidXchange for payment orchestration, Celigo middleware, Birst for business intelligence and Salesforce for vendor or customer touchpoints. Those integrations connected invoice and payment data flows to ERP posting, tax calculation and reporting layers, using the companys documented integration patterns. The deployment therefore functioned as an AP Automation hub linking upstream invoice sources and downstream financial systems.
Governance included role-based access controls, SOX compliance collaboration with auditors, and controlled workflows for requirements gathering, design, testing and deployment. Change management relied on established NetSuite administration practices for release testing, script troubleshooting and saved search and dashboard maintenance. Operational ownership remained within finance and the NetSuite administration team, with coordination across professional services and audit stakeholders.

In 2015, Agilysys implemented Oracle NetSuite SuiteFlow. The deployment used Oracle NetSuite SuiteFlow for Business Process Management to orchestrate approval routing, event driven transaction workflows, and automated state transitions within the NetSuite environment.
Configuration and automation leveraged SuiteFlow alongside SuiteScript 1.0 and 2.0 patterns, including User Event, Scheduled, Suitelet and RESTLet scripting, and SuiteAnalytics Connect for operational reporting. The implementation focused on workflow orchestration, scripted automation of business events, and analytics integration to support process monitoring and exception handling.
Integration architecture combined Dell Boomi middleware and custom integration code, with endpoints to Salesforce Sales Cloud and Service Cloud, Atlassian Jira, SQL Server, Oracle Database, Anaplan, Birst, ADP, and Active Directory. Custom interfaces and .Net, PL/SQL and TSQL components were used to bridge web platforms such as Sitecore and SharePoint to NetSuite data flows and orchestration logic.
Governance and operational ownership rested with the Business Systems Solutions and Integration team, with a Business Systems Solutions and Integration Architect acting as technical lead and mentor for configuration, change control, and release coordination. Agilysys used Oracle NetSuite SuiteFlow Business Process Management to centralize workflow governance and to align process automation across finance, sales and service, HR, and web application integration points.
