Zia Consulting worked with AU to configure a folder and taxonomy structure within Hyland Alfresco Records Management to serve as the records management foundation for the university. Configuration included taxonomy driven classification and automated policy application so that records management policies are applied to course materials as they are ingested or reorganized. Quality control reporting was implemented to give staff visibility into when documents are added to or moved within the Alfresco repository.
Operational coverage centered on academic departments responsible for course content and central records staff who manage the repository and QC reporting. The implementation emphasized repository level governance through taxonomy enforcement and policy automation, aligning content lifecycle controls with course material workflows. Zia Consulting prepared AU operationally and technically for the mass migration of course content, ensuring the new taxonomy guided the migration.
The Hyland Alfresco Records Management deployment improved document and records management at Athabasca University by centralizing course materials and applying records policies consistently. The Content Management implementation established a structured repository, classification rules, and staff facing QC reporting to support ongoing governance.
