In 2018, BGF implemented SAP Concur Expense as its Expense Management application to centralize employee expense submission and reconciliation. The deployment focused on supporting the firm’s investment support and office management functions, with primary usage by a compact user base including an eight person investor support team and administrative staff who manage travel bookings and event budgeting.
SAP Concur Expense was configured to handle standard expense management workflows, including electronic receipt capture and submission, expense report generation, approval routing, and reconciliation processes. Configuration emphasized policy enforcement and role based approval chains to align expense approvals with Investment Committee level oversight and internal finance controls.
Operationally, SAP Concur Expense was used alongside the firm’s CRM workstreams and Power BI reporting to ensure accurate financial reporting and to support end to end administrative activities such as flight and hotel bookings, itineraries, meeting documentation, and staff onboarding. The application supported day to day office functions that include event management, supplier liaison, and reconciliation of travel and card expenses.
Governance incorporated Concur into new starter inductions and the accounts reconciliation process, embedding expense workflows into the firm’s operational procedures. Process changes emphasized standardized submission and approval steps, centralized reconciliation ownership, and the use of SAP Concur Expense as the authoritative expense submission and reconciliation tool for investment support and office administration.
