Configuration work centered on Basware AP Automation core invoice capture, workflow and payment processing to remove paper and automate invoice handling, with invoices routed to a centralized accounts payable email inbox. The implementation included the FlexiPurchase Cash Management module to manage employee cash expenses, allowances, cash advances, petty cash and out of pocket expenses, and that module was integrated with the general ledger and payment file generation.
Operational design introduced purchase order numbers unique to each branch to enable the amalgamation of large creditor accounts and simplify AP coding so multiple invoices for a single supplier could be posted to one account. A reconciliation model was developed in Excel to identify differences between purchase orders and supplier invoices, addressing receipting issues, and that reconciliation was institutionalized as a monthly control used by purchasing and finance stakeholders.
Governance and process change were formalized by the finance manager who led internal control assessments, prepared monthly management reporting packs with analysis and commentary, coordinated external audit activity and oversaw statutory account and tax return preparation. Documented outcomes from the Basware AP Automation implementation included elimination of paper, cleaner invoice images that eliminated failures, a streamlined workflow that reduced processing time by half and the consolidation of creditor accounts within the AP Automation program.
