Integrations were anchored on SAP for posting and payment processing, with the AP team executing weekly payment runs in multi currencies and GBP and maintaining the system as the operational source for invoice status and authorisations. Between September 2018 and June 2019 the AP operatives used the platform to enter invoices into SAP, review and verify payment requests, follow up with approvers when POs were not raised or receipted, and communicate coding corrections with documented reasons. Governance was implemented around invoice authorization and exception handling, ensuring correct authorisation of purchase invoices and establishing the AP team as the primary escalation point for supplier queries. Workflow rules and user accountability were used to enforce review steps and timely input of all AP invoices and related transactions.

Governance centered on a controlled budget and forecast data upload process, an established monthly management accounts cadence with narrative commentary, and an end to end sales reporting workflow that coordinates operations and commercial teams. The monthly cash flow report produced in Microsoft Power BI became a key focus for the Global STADA Leadership Team during the pandemic, and ongoing practices include regular communication with budget holders and support for ad hoc leadership requests.

Operational coverage extended to all staff and supported a rapid shift to remote working, with on premise telephony adapted to remote work across the company during the Covid-19 lockdown in two weeks. Governance and process workstreams accompanied the technical rollout, aligning Service Management processes with Office security reviews and Business Continuity and Disaster Recovery assessments, and embedding Teams into collaboration governance for meetings and external communications. The implementation was executed as part of the broader Office Platform programme to standardize conferencing and unified communication patterns across Britannia Pharmaceuticals.
