The expense tool was implemented with data extraction and OCR software to process receipts, and was aligned with the council financial chart of accounts and related financial modules to ensure consistent card expense data across systems. Governance and rollout followed formal project management and SDLC disciplines, including test management during sprints, resource coordination across service units with teams up to 30 people, stakeholder engagement across directorates, and an agreed transition to support. All SDLC tasks were completed and the implementation was successfully rolled out to approximately 50 City of Perth employees, with related TechnologyOne projects impacting over 500 administrative staff.
