| M3 | Legacy | M3 Accounting Core | ERP Financial | ERP Financial Management | n/a | 2017 | 2017 |
In 2017 Coastal Hospitality Associates implemented M3 Accounting Core as its ERP Financial platform to centralize accounting across four hotel properties. The deployment supported centralized accounts payable, month end close, financial reporting, and payroll import workflows beginning August 2017.
M3 Accounting Core was used for core financial modules including accounts payable invoice entry and GL coding, journal entries, monthly accruals, generation of monthly financial statements, and balance sheet reconciliations. The implementation included tax handling workflows, specifically calculating use tax on invoices and computing monthly state and city sales tax for each hotel, and it supported audit preparation through systematic financial statement generation and review.
Operational integrations and interfaces were executed through established workflows rather than named middleware, with invoice approvals routed from hotel General Managers into M3 Accounting Core and daily financial functions reconciled in Excel. Bank statements and credit card settlement reports were compared to the general ledger on a weekly to biweekly cadence, and payroll data was analyzed and imported into M3 Accounting Core for four hotels.
Governance and process design centralized month end close tasks under a centralized controller model, with the Assistant Centralized Controller performing journal entries, account analysis, reconciliations, and communicating audit results to executives. Invoice governance required GM approval and supporting documents such as purchase orders or W 9s for new vendors, while tax calculations and financial statement reviews were escalated to the Director of Accounting for oversight.

| Gallup | Legacy | Gallup Q12 | Employee Engagement | HCM | n/a | 2016 | 2016 |
In 2016 Coastal Hospitality Associates implemented Gallup Q12 as its Employee Engagement application to support HR and operations across its portfolio. The Gallup Q12 deployment was led from corporate HR reporting to the President and SVP of Operations and covered eight hotels and outlets in the Hampton Roads and North Carolina areas, aligning engagement measurement with regional workforce planning and leadership priorities.
The implementation centered on regular Gallup Q12 survey administration, participation tracking and manager-level analytics, with an emphasis on action planning workflows and behavioral competencies. Configuration emphasized recurring pulse surveys and manager dashboards to surface engagement drivers, and these processes were tied into behaviorally based selection and full-cycle recruiting practices to hire for cultural fit and to reinforce desired service behaviors.
Operational governance extended beyond HR into the GM Advisory Board and the Hotel Project Operations Board where Six Sigma lean concepts were used to iterate processes. The deployment supported related programs including a modified light duty program, a Leader in Development Program, formal succession plans and Ready Now initiatives, creating a lattice of people processes intended to strengthen bench depth and frontline supervision.
Outcomes recorded from the Gallup Q12 program were explicit, including a two point year over year improvement in engagement scores with mid 90 percent participation annually. Additional stated operational outcomes included a 50 percent reduction in lost time incidents tied to the modified light duty program and a reduction in management turnover from 61 percent to 42 percent as leadership development and succession planning were institutionalized.

In 2015, Coastal Hospitality Associates deployed Microsoft 365 to provide enterprise Collaboration across the organization and the public website. Coastal Hospitality Associates uses Microsoft 365 on their website and maintains a cloud-hosted Microsoft 365 tenancy to centralize core communication and document workflows for its 750 employees.
The Microsoft 365 deployment includes standard Collaboration capabilities such as Exchange Online for email, SharePoint Online for intranet and document libraries, Microsoft Teams for real-time communication and meetings, and OneDrive for Business for user file synchronization and sharing. Configuration appears aligned with typical tenant-level service activation, licensing assignment, and mailbox and site provisioning to support corporate office and property operations.
Operational coverage extends across company departments and property sites, surfacing Microsoft 365 services both internally and on external web properties. The use of Microsoft 365 on their website indicates public facing integration of collaboration or identity surfaced components while core collaboration workloads remain provisioned in the Microsoft cloud.
Governance is organized around a centralized tenant model with identity and access control managed through Microsoft identity services, enabling role based access and centralized administration of mailboxes, sites, and Teams. Administrative processes implied by the deployment focus on tenancy governance, licensing management, and workspace lifecycle controls consistent with enterprise Collaboration best practices.
