In 2025 Collective Family Law Group moved from LEAP Legal Software to Clio Manage as its core Legal Practice Management application, a decision reached after 16 years on the previous system and described publicly on the Scalable Law Podcast. The migration established Clio Manage as the firmwide practice management backbone for a 15 person Australian family law practice, aligning system selection with the firm’s growth and operational direction.
The deployment focused on standard Legal Practice Management functional modules, configured for family law workflows, including matter and case management, document management, time entry and billing, client intake and intake form automation, calendaring, and reporting and dashboards. Clio Manage was configured to support matter lifecycle orchestration and billing flows typical for small professional services firms, with attention to configurable workflows and role based access for partners, solicitors and administrative staff.
Integrations were a central element of the implementation, with explicit connections to Xero for accounting and billing reconciliation, Calendly and Outlook for scheduling and calendar synchronization, and VXT for client communication and virtual conferencing. These integrations were used to create end to end workflows from client intake through appointment scheduling, time capture, invoice generation and accounting export, reducing manual handoffs between administrative and fee earning functions.
Governance and rollout planning emphasized data mapping and phased migration, with detailed planning to address costs and data extraction issues, including unexpected fees encountered with LEAP during the data migration. Training, change management and ongoing configuration governance were instituted to support adoption, and the firm reported early improvements in flexibility and reporting capability using Clio Manage that support better decision making across practice management and financial workflows.
