In 2017, Controlled Products Systems Group deployed Epicor ECM AP Automation to automate Accounts Payable across its distribution network. The Epicor ECM AP Automation implementation targets AP Automation for corporate finance and supports centralized invoice processing across 35 branch locations.
The deployment configured Intelligent Data Capture, a document repository holding about 500,000 items, and validation workflows that reconcile receipts, quantities and pricing before invoice approval. Epicor ECM extracts invoice data from multiple document formats, enabling processing of roughly 300 invoices per day through automated capture and validation. The system routes validated invoices into Prophet 21 for a final verification report and then posts transactions to the general ledger.
Epicor ECM AP Automation was implemented within an integrated Epicor stack and interfaces directly with Epicor Prophet 21, Epicor EDI for transactional exchange with key customers, Epicor Tax Connect for sales tax automation, and integrated credit card and ACH payment processing. Epicor EDI and Epicor ECM collectively provide a digital audit trail for transactions that have no physical paper. Credit card processing is automated at point of sale across branch locations, and paid invoices are marked in the general ledger.
Operational governance was structured around automated matching rules, exception routing, and a single final validation report before posting, which reduced manual handoffs in the AP workflow. The cloud hosted repository allowed authorized personnel and external auditors secure remote access to invoices, purchase orders and register reports during the COVID 19 pandemic. Controlled Products is converting and consolidating its document set into Epicor ECM to centralize records and improve searchability.
The implementation enabled the company to support sustained growth of 20 to 25 percent year over year without adding AP headcount, an outcome explicitly reported by the customer. Epicor ECM AP Automation therefore serves as the central AP Automation component within Controlled Products Systems Group, integrating capture, validation, workflow orchestration and financial posting.

| Epicor | Legacy | Epicor Prophet 21 | Distribution ERP | ERP Services and Operations | n/a | 2017 | 2018 |
In 2017 Controlled Products Systems Group deployed Epicor Prophet 21 as its Distribution ERP to centralize order processing, inventory control, and financial coordination for its Tampa, Florida branch. Epicor Prophet 21 functions as the primary system for transactional operations and supports sales order entry through to fulfillment and financial reporting.
The implementation covers standard distribution modules and workflows including sales order entry, order processing and order entry operations, inventory control with cycle counts and inventory adjustments, shipping and receiving, accounts receivable, and RMA RGA processing. The Epicor Prophet 21 configuration is used to produce monthly P and L reviews and to support operational activities such as product research, purchasing coordination, and inventory reconciliation.
Epicor Prophet 21 operates alongside ShipLinx for third party shipping program workflows and integrates with Microsoft Office tools including Excel and Outlook for reporting, communications, and spreadsheet based inventory and pricing tasks. Operational coverage is centered on the Tampa branch with usage evident in daily order processing, logistics, shipping and receiving, and weekly regional meeting inputs related to budgets and sales goals.
Governance is branch oriented, with the branch manager and operations manager using Epicor Prophet 21 as the system of record for training new personnel, processing customer orders, and coordinating vendor trainings and events. The system drives transactional workflow standardization across order to cash, inventory governance, and financial review processes within Controlled Products Systems Group.

| Epicor | Legacy | Epicor XL Connect | Analytics and BI | Analytics and BI | n/a | 2017 | 2017 |
In 2017, Controlled Products Systems Group implemented Epicor XL Connect to strengthen Analytics and BI capabilities across its Epicor application stack. Epicor XL Connect was deployed to centralize financial reporting and ad hoc analysis for the distributor, aligning analytics with the company’s existing Epicor investments in Prophet 21, Epicor ECM, Epicor EDI, and Epicor Tax Connect.
The implementation configured Epicor XL Connect to surface reporting from Prophet 21 financial ledgers and transaction tables, and to consolidate document metadata from the Epicor ECM repository which stores roughly 500,000 items. The Analytics and BI deployment supported reporting for accounts payable, credit card processing, sales tax automation, and broader financial management and reporting, and was positioned to consume structured ERP data and ECM indexes rather than act as a transactional system.
Deployment scope covered corporate finance and reporting workflows that span 35 branch locations and the central AP operations which process about 300 invoices daily. The Epicor XL Connect analytics layer complemented automated AP and EDI workflows, enabling consolidated financial dashboards and operational reports while supporting remote access to digital records for auditors and managers. The Epicor suite, including Epicor XL Connect, underpinned the company’s ability to scale AP throughput in line with 20 to 25 percent annual growth without adding AP headcount, and to streamline credit card and ACH payment posting into the general ledger.
