The implementation integrated with the company SAP ERP to validate PO numbers, match against goods receipt records and post transactions into the finance ledger. Invoices were received at DAK Americas corporate headquarters in Charlotte, North Carolina, with 75 percent arriving by email and the remainder scanned and uploaded via FTP by an outsourced scanning provider. Operational coverage was the centralized AP department that had previously been organized into siloed specialist teams for raw materials, utilities and freight invoices.
Workflow automation replaced manual exception routing and provided an image backed approval trail with role based visibility so stakeholders can see document status and ownership. The AP organization moved toward a cross trained staffing model, with some users focused on incoming capture and others on template optimization and exception workflow management.
With Kofax ReadSoft Process Director for SAP in place, DAK Americas moved toward a more nimble, cross trained AP department. Kofax ReadSoft Process Director for SAP automatically captures invoice data, matches that data against the PO and goods receipt, verifies it in SAP, forwards matched invoices for payment approval, and routes discrepancies into an image backed exception workflow that shows stakeholders where documents are in the process and who is responsible for the next action.
