Microsoft Legacy Microsoft Dynamics AX ERP Financial ERP n/a 2017 2017
In 2017 Education Services Australia implemented Microsoft Dynamics AX as its ERP Financial system, bringing core finance operations onto a consolidated enterprise platform. The deployment was scoped to bring the finance function in-house, support corporate accounting and project-related billing, and provide a single source of record for transactional finance and timesheet processes across the organisation. The Microsoft Dynamics AX implementation included end-to-end activities such as data migration and data conversion, integration testing, and formal user acceptance testing. Functional configuration work emphasised system role profiles, user access rules, configured workflows and alerts, and the rollout of AX Timesheet functionality to compress timesheet reconciliation. Finance configuration also encompassed posting rule changes for depreciation and subscription revenue recognition and multi-currency banking support including New Zealand accounts. Integrations and adjacent systems were explicitly addressed, including the implementation of the Flexipurchase credit card expense management system and automation of invoicing for an overseas reseller which reduced manual intervention. Operational coverage spanned Finance and Customer Service teams, with the finance team acting as a business partner to other units and the system supporting internal processes used by digital services and program teams. Governance and controls were embedded through documented internal controls policies, Finance-led process changes, and system documentation retained by internal SMEs. The program delivered explicit operational outcomes, including reduction of monthly timesheet reconciliation from two days to a couple of hours, a three day reduction in quarterly reforecasting and budgeting effort, a drop in time to produce employee card expense summaries from two hours to ten minutes, a reduction of approximately 170,000 posted transactions per annum due to posting rule updates, and a cut in finance effort on UK reseller invoicing from five days to three hours while enabling subsequent automation. The upgrade path and ongoing maintenance included an upgrade to AX Dynamics R3 CU13 as part of the ERP lifecycle managed by the finance team.

Janison Legacy Janison Learning Management Learning and Development HCM n/a 2015 2018
In 2015, Education Services Australia implemented Janison Learning Management to digitise and deliver NAPLAN Online for ACARA and participating jurisdictions. The deployment established Janison Learning Management as the core Learning and Development platform for national assessment delivery under ESA's program responsibilities. The implementation leveraged Janison's integrated learning and assessment suite and was configured for LMS-style delivery, assessment orchestration, and analytics-driven reporting. Janison Learning Management was implemented with functional capabilities aligned to assessment programs, including a test delivery engine, item bank management, candidate authentication workflows, scheduling and session orchestration, and centralized analytics and reporting for assessment administrators. Deployment used a scalable cloud architecture to support nationwide NAPLAN delivery during defined national test windows, with integration and operational coordination with ACARA and state and territory jurisdictions for test administration. Operational scope covered national test events and supported multimillion test volumes and peak concurrent user loads reported during those windows, reflecting enterprise-grade throughput requirements. Governance and rollout required coordinated program governance across ACARA, jurisdiction assessment teams, and ESA IT and assessment operations, standardising scheduling, incident management, and monitoring processes for high-stakes test windows. The configuration emphasised assessment orchestration, centralized analytics for result verification and operational monitoring, and repeatable processes for subsequent national test cycles.
