In 2017, Engagis implemented FlexiPurchase (OEM Fraedom Spendvision) as its Expense Management application to centralize corporate card expense allocation and AP-related expense workflows. The deployment was targeted at the finance function, with day to day use by Assistant Accountant and Accounts Payable Officer roles responsible for high volume invoice processing and monthly credit card allocations.
FlexiPurchase was configured to support card transaction allocation, automated expense posting rules, exception reporting, and reconciliation workflows consistent with Expense Management capabilities. Configuration supported processing of prepayments and end of month accruals, preparation of weekly supplier payments, and scheduled monthly contractor payments to staff and vendors in the Philippines, Serbia, New Zealand, and the USA.
The implementation included integrations with NetSuite for creation of items and general ledger reconciliation, and card feed connectivity to National Australia Bank for corporate card transaction ingestion. Operational coverage extended across accounts payable, accounts receivable monitoring tasks, cash flow preparation, maintenance of the creditors ledger, and management of a BNZ bank account and its reconciliations.
Governance and process changes emphasized monthly allocation of company credit card expenses through FlexiPurchase, exception reporting management, and support for external audit processes. The solution was embedded into existing AP workflows for supplier statement reconciliation, preparation of contractor payments, FX deal monitoring for settlement, fixed assets register maintenance, and assistance with BAS and PAYG processes.
