Implementation focused on accounts payable operations with a sustained weekly processing workload of up to 200 invoices, covering contract payment requests, operational invoices such as rents and utilities, government, insurance and patient refund requests via an integration tool, tax payments, contractor and candidate expense reimbursements, and company wide direct bill accounts.
The deployment centered on the A/P module and general ledger integration, with configuration to assign general ledger accounts in accordance with annual budgeting guidelines. Finance staff prepared the weekly check run and entered manual payments into the A/P module to account for wire and ACH disbursements, while reconciling the Accounts Payable sub-ledger at month end and preparing journal entry reclasses for multiple A/P related sub-ledgers. The American Express corporate card program was reconciled for PCard controls and vendor card records were maintained to compile 1099 files and address IRS identified errors.
Integrations and adjacent tooling supported the Microsoft Dynamics GP environment, including an integration tool for processing government, insurance and patient refund requests, backup support for Concur Expense including new employee profile setup and expense report processing, and implementation and training for FedEx Ship Manager as part of FedEx shipping account administration. The finance organization also served as primary backup for daily claims payment processing, demonstrating operational coverage across accounts payable, payments, expense management, claims payments, and shipping administration.
Governance workstreams emphasized SOX compliance and helped establish processes for properly tracking budgets and approval levels within the complex healthcare operating model.
