Configuration emphasized authorization rules for claim payments and role based access for a Vendor Administrator who approved invoices and released payments within the Coupa Invoice application.
Operational coordination included direct communications with repair shops via an instant messaging application and email, which were used to request vehicle assignments and clarify estimates prior to payment. The deployment impacted claims operations, vendor management, and accounts payable functions at the Oklahoma City site and was operational during the Vendor Administrator tenure from December 2019 to October 2021.
Governance centered on workflow enforcement inside Coupa Invoice with approval gates for estimate based repair payments and recorded invoice settlements for shipping and storage. Functional capabilities implemented included email collection orchestration, physical records collection tracking, matter repository configuration, export and production workflows for legal and compliance groups, and privacy control enforcement in eDiscovery collections.
The application environment integrated with cloud storage controls and privacy tooling noted in operations, specifically BOX and Legal Hold Pro, to govern access and to control eDiscovery data collections. Integrations also supported ingest of email system exports and handoffs to litigation support teams for production, enabling centralized chain of custody tracking and audit trail capture associated with each matter.
Governance and operational processes were updated to reflect automated hold management, training for records compliance staff, and annual risk assessment inputs managed through the Legal Practice Management platform. The implementation emphasized retention schedule administration, procedural enforcement for preservation and collection, and administrative controls for privacy and access within Exterro Zapproved ZDiscovery.
