Configuration work focused on Expense Management workflows including policy-driven approvals, expense report submission, receipt capture, cost center coding and automated approval routing. Workday Expense was implemented alongside and configured to interoperate with core Workday modules already in scope, specifically Workday HCM, Advanced Compensation, Absence, Security, Recruiting, Talent/Performance, Studio, Reporting and Workday Learning, enabling a shared security model and consolidated employee and financial reporting.
The deployment was placed inside GetYourGuides broader HR technology ecosystem which includes systems such as Greenhouse and Peakon, with Workday Expense leveraging the central employee master data and role provisioning in Workday. Integration and orchestration tasks used Workday Studio and reporting capabilities to validate employee data, support cost allocation and maintain audit trails across HR and finance processes.
Governance and operational ownership were centralized under HR systems leadership, with responsibility for configuration standards, security role provisioning and prioritization of enhancements. The rollout emphasized cross-functional coordination between HR and Finance to align expense approval workflows and policy frameworks with Workday security and reporting governance.
