Prior customizations will be reviewed for possible removal where out of the box functionality can be leveraged, and a Code and Defect Remediation Review is planned to reduce customization surface and improve maintainability. Operational readiness includes a Support Solution Test, a timeboxed effort for targeted enhancements, and performance testing to validate deployment preparedness and post go live support. Microsoft Consulting Services is engaged on a time and materials basis and a go live date of January 3, 2023 was presented to minimize disruption.

The IBM Maximo configuration focused on establishing a single master asset registry and extending standard Enterprise Asset Management workflows to cover both maintenance and capital project lifecycles. Functional capabilities implemented or required include centralized asset tagging for plant and office equipment, a system to capture and reconcile master asset lists, work order management extended to capital work orders, inventory control for spare parts, and automation of depreciation and overhead calculation as stated in GRDA requirements. The deployment design emphasized eliminating duplicate data entry and separating Integrated Transmission System ITS and non ITS assets to support billing and accounting segregation. Integrations were explicit and retained in scope, inventory transactions are imported from IBM Maximo to MS Dynamics, mileage and flight hours are exported from GRDA’s custom Equipment system and imported into Maximo to support maintenance scheduling, MS Dynamics initiates journal vouchers for general ledger entries, and Maximo is the source of fuel usage tracking. Treasury management remains on external Bank of Oklahoma applications Treasury Source and Portfolio Online with Excel based cash flow forecasting, and the business called for direct integration between treasury and the accounting system plus automatic reconciliation to reduce spreadsheet dependency. Operational coverage for the implementation spanned maintenance operations, fleet management, finance and accounting functions, and reporting for state and regulatory submissions. Governance and process changes were emphasized to realize asset management objectives, including instituting a formal asset management plan, periodic physical inventory verification to confirm existence and condition of assets and to capture useful life adjustments, and workflow rules to eliminate manual Excel reconciliation. Fleet related governance requirements included capturing mileage in Maximo, automated maintenance notifications based on mileage or age, separation of operating expense from maintenance expense for analysis, and integration points to support payroll and vehicle assignment workflows. The IBM Maximo Enterprise Asset Management deployment therefore aligned GRDA maintenance, asset accounting, fleet and treasury adjacent processes under a consolidated asset master and governed workflows to reduce duplicate entries and improve operational traceability.
