In 2022, HMSHost implemented SoftCo ExpressAP to automate its Accounts Payable workflows, deploying SoftCo ExpressAP as an AP Automation solution across its global travel food and beverage operations. The implementation configured automated capture, invoice processing, and approval workflows to handle approximately 100,000 annual invoices, using SoftCo ExpressAP functionality for Smart Coding and Smart Routing to determine routing and GL coding for non PO invoices. The SoftCo Vendor Portal was implemented to enable vendors to submit invoices directly and obtain status visibility, while touchless invoice processing logic was applied to maximize straight through processing for PO invoices.
SoftCo ExpressAP was integrated with the existing ERP, Oracle PeopleSoft, to synchronize invoice, supplier, and payment data, establishing end to end Procure to Pay orchestration between the AP Automation layer and the ERP ledger. Operational coverage focused on Accounts Payable and Finance functions across HMSHost sites, standardizing invoice receipt, exception handling, and approval routing across airport and travel plaza locations.
Governance and process changes included vendor self-service through the portal, automated routing rules for non PO invoice approvals, and centralized coding rules to reduce manual intervention.
