The initiative aligned Coupa Invoice with the Finance Accounts Supervisor activities documented between 2008 and 2020, focusing on supplier invoice intake for goods imported into the United Kingdom.
Configuration and functional scope emphasized supplier invoice capture, three-way matching and approval workflows for imported goods, and dedicated processing for container detention and quay rent charges. Coupa Invoice was used for invoice processing while authorised invoices and credit data were exported into Oracle using ADI journals to create monthly journals and to support General Ledger reconciliations.
Integrations included a transactional handoff from Coupa Invoice into Oracle ERP for journal posting and payment orchestration, and concurrent logging of invoice details into an internal Access database for import operations tracking. Operational coverage centered on Homebase finance, encompassing import operations oversight for haulage, storage, container detention and quay rent, weekly BACS payment runs, Sterling and Euro cheque runs, staff expenses and telegraphic transfer payments.
Governance and workflow changes reinforced supplier onboarding and vendor master maintenance through Oracle, with direct supplier liaison for audit-quality vendor data, monthly statement reconciliations and year-end preparation. Kerridge k8 ERP was provisioned as the Distribution ERP to centralize retail sales, stock handling, financial posting and customer service workflows across the United Kingdom operations, supporting a retailer with roughly 3,000 employees and reported revenue of 905000000.
The implementation concentrated on core Distribution ERP capabilities, with configuration focused on inventory management, order processing, invoicing and financial transaction posting. Kerridge k8 ERP supported functions used by sales consultants for general sales interactions, technical specification capture and budget-constrained product selection, while enabling stock allocation into and out of corresponding business areas and the processing of internal and external invoices.
Operational coverage extended across sales floor teams, stock management, finance and customer service departments, with documented workflows for order intake, stock receipt and dispatch. The system was used to identify and record banking transactions and to coordinate order fulfilment with third-party suppliers, for example tile companies, ensuring orders were processed and routed to the correct business areas.
Governance and process controls were instituted to align day-to-day administration with statutory requirements, procedures included controls to ensure compliance with the Data Protection Act, and responsibilities were assigned for order processing, invoicing and customer issue resolution.
