In 2020, Kiwi.com deployed the Rossum.ai Platform as an AP Automation solution to address high-volume invoice processing across its operations and ticket brokerage services. The Rossum.ai Platform became the primary operational cockpit for the finance department, consolidating invoice intake and initial review for Accounts Payable staff.
The implementation focused on capture and extraction capabilities, with Rossum used to capture header fields and line items and to pair vendor and cost center records within the user interface. Configuration centered on data validation and document review workflows, enabling junior staff to verify and correct parsed values rather than manually transcribing PDF content.
Kiwi.com’s IT Systems Engineers integrated Rossum with the company NetSuite instance using Rossum’s published APIs, leveraging vendor technical support for rapid engineering assistance. The integration connected captured invoice data and vendor and cost center mappings into NetSuite posting workflows, keeping the deployment scoped to the finance department’s AP operations.
Process governance and operational change emphasized error reduction and workload redistribution, rather than headcount reduction. The project reduced exceptions and the manual posting burden that previously consumed multiple junior staff for most of each month, and AP staff now spend no more than two hours per person daily on invoice posting. Existing team members were redeployed to higher value tasks including analysis and reporting on past-due items, credit notes and pro-formas, and improved cost center allocation for budget reporting.
