In 2019, Nelnet implemented Bottomline Paymode-X Invoice Automation to address a costly paper based accounts payable workflow and improve invoice processing. The deployment targeted the accounting and accounts payable department that handles numerous check requisitions for internal and external clients. The project used Bottomline Paymode-X Invoice Automation within the AP Automation category to introduce electronic invoice capture and routing. Configuration emphasized invoice capture, automated approval routing, and electronic requisition processing to remove manual check requisition steps. The implementation standardized invoice workflows, exception routing, and document imaging to increase process consistency. Bottomline Paymode-X Invoice Automation was configured to handle both internal requisitions and external vendor invoices, aligning workflow automation with existing accounting team processes. Nelnet integrated Bottomline Paymode-X Invoice Automation with Microsoft Dynamics GP to streamline invoice posting and maintain a single source of record for payables. The integration linked invoice data to the general ledger and reduced duplicate data entry between accounts payable and the ERP. Operational coverage remained focused on the accounting organization and AP workflows rather than a company wide rollout. Governance changes included centralized approval hierarchies, role based controls, and audit trail capture to support compliance and visibility. Nelnet reported improved operations, streamlined processes, and enhanced visibility into payables and requisition workflows following the Bottomline Paymode-X Invoice Automation deployment. The project reduced reliance on paper and enabled more consistent AP controls across internal and external requisition flows.
