Operationally the Coupa Invoice instance ran alongside other operational systems in use on site, notably ServiceNow CAFM for job logging and a landlord e-permit system for contractor RAMs, with teams using each system for their respective operational tasks. The scope covered facilities management functions including scheduling contractor PPMs, overseeing contractor works, and coordinating engineering instructions, with Coupa Invoice handling the accounts payable touchpoints generated by those activities.
Governance and process changes centered on formalizing invoice approvals, tracking work in progress and KPIs, and embedding AP Automation into monthly contractor operational meetings and client QHSE forums. Coupa Invoice provided the structured invoice workflows and controls needed to align procurement activities, contractor billing, and SLA oversight within CBRE UK’s facilities management operating model.

Data feeds and reporting layers were organized to reflect finance and asset management use cases, enabling the analyst team to produce consistent EMEA reports.
Operational governance was managed through a centralized team of analysts responsible for PeopleSoft General Ledger, Asset Management and Oracle Business Intelligence across the EMEA footprint.
