In 2015 NSW Ministry of Health deployed Oracle Cloud ERP Accounts Payable as an AP Automation solution to centralize and standardize accounts payable workflows across its finance, payroll and HR interfaces. The implementation focused on automating invoice processing and payment orchestration while preserving reconciliation touchpoints that were operationally critical to payroll accounting officers.
Configuration emphasized AP modules and automation capabilities typical of AP Automation, including automated invoice capture and validation, configurable approval workflows, scheduled payment processing, supplier master management and account matching for payroll related transactions. The Oracle Cloud ERP Accounts Payable implementation was configured to support daily emergency payments and routine pay runs, with quality checks and authorisation controls embedded in operational procedures.
Integrations were established with the Stafflink payroll system for reconciliation of weekly payroll exports and third party payments, with Kronos used for roster input flows that inform payroll interfaces. The AP implementation maintained reconciliation processes for monthly superannuation payments, explicitly covering State Authority Super Scheme SASS, ComSuper and First State Super, and operated alongside the existing Oracle R12 accounts payable reconciliation activities described by NSW Health payroll staff.

In 2021 NSW Ministry of Health deployed ServiceNow VAM as an Electronic Health Record solution to manage the state vaccination program, selecting the platform in May 2021 for scalability and ease of use. ServiceNow VAM is positioned as the unified record and workflow layer for vaccination operations across NSW, consolidating appointment scheduling and clinical documentation into a single platform.
The implementation configured ServiceNow VAM to support end to end vaccination workflows, including booking an appointment, tracking vaccination doses, recording clinical information, clinic configuration and management, and clinician administration activities. The Now Platform was customized to automate handoffs between administrators, clinicians, and patients, and to support rapid provisioning of new clinic instances and a bespoke queue management capability for high throughput mass vaccination sites.
ServiceNow VAM was integrated with Australian Immunisation Register reporting and Medicare validation, and it interfaced with the State Health Emergency Operations Centre and national eligibility routing to streamline patient access. Operational coverage spans more than 400 NSW Health sites, including Liverpool, Royal North Shore, St Vincent’s, and mass vaccination centres at Hunter New England, South Western Sydney, Qudos Bank Arena operated by Western Sydney LHD, and Wollongong, delivering hundreds of thousands of vaccine administrations per month.
Governance and rollout were coordinated across Local Health Districts, the State Health Emergency Operations Centre, local hospital IT and COVID 19 response teams, and ServiceNow, with near daily releases driven by operational feedback. The project included migration of patient records into the ServiceNow VAM platform and ongoing iterative releases to add functionality and respond to emerging priorities such as changing age groups, occupations, and local government area concerns.
Explicit outcomes documented by NSW Ministry of Health include reduced duplication and manual processes, time savings, increased data accuracy, and improved reporting and analytics through a unified view of booking, administration, and delivery stages.
