In 2015 PostNL deployed SAP Business ByDesign as a central element of a full cloud strategy, replacing SAP ERP ECC 6.0 and a range of disparate business IT systems to achieve simplification and standardization. The move positioned SAP Business ByDesign as the cornerstone of PostNLs IT landscape and explicitly aligned the company to an ERP Financial model for core back office consolidation.
The implementation concentrated on ERP Financial capabilities, including core financial management, general ledger and close workflows, accounts payable and receivable, fixed asset accounting, and integrated reporting and analytics. Configuration and standardization emphasized template-led fiscal controls and cloud-native financial process orchestration, enabling consistent accounting and period close practices across business units.
Architecturally the deployment consolidated multiple legacy systems into a single cloud instance of SAP Business ByDesign, reducing fragmentation in the IT estate and centralizing financial data flows. Operational coverage extended enterprise wide for finance and related back office processes, and the system was positioned to scale with PostNLs existing organizational footprint and cloud roadmap.
Governance and rollout were executed rapidly to realize standardization and cost efficiencies, with PostNL reporting significant cost savings and early positive results from the consolidated environment. Marcel Krom, CIO at PostNL, noted that the company succeeded in replacing a large number of IT systems with one scalable and cost efficient system, reinforcing SAP Business ByDesign as the primary ERP Financial platform for the organization.

In 2017, PostNL implemented SAP SuccessFactors Employee Central to establish a cloud-based Core HR foundation as part of a broader move away from on-premise HR infrastructure. The Core HR deployment was executed alongside a program to migrate on-premise SAP HCM payroll to SuccessFactors Cloud Payroll, a program that included a major data migration of more than 200GB of payroll and HR data.
The SAP SuccessFactors Employee Central implementation was configured to preserve payroll-relevant master data and organizational structures, with explicit conversions applied to position and job title fields. Conversions were executed against SAP PA0001 and the payroll cluster table WPBP, with rules to populate fields such as PLANS, STELL and OREGH, and inheritance logic applied to personnel subareas where required.
EPI-USE Labs delivered the PRISM for ECP migration service, using Data Sync Manager to extract source data from the on-premise SAP HCM production client and to stage data files for import into the SuccessFactors Cloud Payroll environment. Variance Monitor was used to automate data quality testing and to highlight differences between source and target during Engineering and Dress rehearsal phases, and three HR nonproduction clients were provisioned to validate process and data quality before any runs on the ECP production client. Huris is listed as the SI/VAR associated with the broader engagement.
The migration followed a four phase delivery model including conversions, testing, engineering and dress rehearsal, and production cutover. Variance Monitor surfaced discrepancies for investigation and the program accommodated three formal change requests during execution. The project team characterized the approach as flexible and cost effective, reporting delivery on time and within budget while retaining the functional value of PostNLs SAP payroll data in the new cloud payroll footprint.

In 2014 PostNL implemented Tungsten ReadSoft Invoices formerly Kofax ReadSoft Invoices to establish an Intelligent Document Processing capability for invoice intake and accounts payable workflow orchestration. The deployment concentrated on centralized capture and automated data extraction to convert paper and scanned invoices into structured invoice records for AP processing across PostNL operations in the Netherlands.
Tungsten ReadSoft Invoices was configured to support high volume scanning, OCR based data extraction, automated validation rules, and coding assistance for AP clerks. Configuration included header and line item capture, business rule driven validation checkpoints, and user validation screens to enable coding and exception handling prior to posting.
Invoice files were ingested into the AP processing pipeline via ReadSoft AX import routines, enabling downstream invoice handling within PostNL accounts payable systems and departmental review queues. Operational coverage emphasized the Accounts Payable function where teams performed coding, prepared payments, produced payment overviews for creditors, and maintained supplier communications when clearing arrears.
Governance and process changes centered on standardizing scanning and import procedures, formalizing validation and exception workflows, and coordinating consultations across departments to resolve invoice discrepancies. Tungsten ReadSoft Invoices served as the central Intelligent Document Processing layer to structure invoice data and route items into established AP workstreams.
