In 2012, Qantas deployed Converga InvoiceMe as its AP Automation solution for Qantas Catering to centralize invoice intake and reduce manual processing. Prior to the deployment invoices arrived as paper mail or as email attachments, creating high handling costs and manual data entry workload for the Accounts Payable team. The implementation focused on supplier-facing capture channels to remove paper from the invoice lifecycle. Converga InvoiceMe was configured to accept electronic invoices through multiple channels, including direct EDI Electronic Data Interchange connections and email PDF ingestion that automatically converts attachments into structured electronic invoices. The system captured invoice data alongside the invoice file, eliminating the need for manual keying and enabling automated invoice data capture and basic validation during intake. Functional capabilities implemented centered on electronic invoicing intake, file-to-data conversion, and supplier onboarding workflows aligned to AP Automation processes. The deployment covered Qantas Catering suppliers and the Accounts Payable function, with a supplier transition approach that offered several easy to use submission options and progressive migration to electronic invoicing. Integrations were supplier-side, enabling EDI-capable suppliers to send invoices directly through Converga InvoiceMe and allowing non EDI suppliers to email PDFs for automatic conversion. The project was intended to substantially reduce the costs associated with the handling of paper invoices and to remove manual keying from procurement invoice processing.

The configuration enabled reference requests to be completed within hours and supported faster verification workflows for hiring managers. Operational governance centralized reference processes inside Qantas recruitment, standardizing request templates, completion tracking, and embedding reference completion as a required step in candidate selection workflows. The implementation achieved a 97% success rate on reference completion and contributed to improved time-to-hire by producing timely, higher quality reference documentation for senior appointments.
