The system captured invoice data alongside the invoice file, eliminating the need for manual keying and enabling automated invoice data capture and basic validation during intake. Functional capabilities implemented centered on electronic invoicing intake, file-to-data conversion, and supplier onboarding workflows aligned to AP Automation processes. The deployment covered Qantas Catering suppliers and the Accounts Payable function, with a supplier transition approach that offered several easy to use submission options and progressive migration to electronic invoicing. Integrations were supplier-side, enabling EDI-capable suppliers to send invoices directly through Converga InvoiceMe and allowing non EDI suppliers to email PDFs for automatic conversion. The project was intended to substantially reduce the costs associated with the handling of paper invoices and to remove manual keying from procurement invoice processing.

Governance and process change were explicit program objectives, with the implementation described as a business-driven IT transformation that realigned maintenance business processes to industry-leading practices. The go-live was reported as a milestone that delivered improved visibility for safety and compliance and enabled a more efficient, business-oriented approach to maintenance planning and management using the IFS Maintenix Aviation MRO platform.
