In 2015 QBE United States implemented Workday Absence Management as part of a broader WorkSMART program to centralize HR functions across the US and 42 countries covering more than 1700 employees and contingent workers. The implementation used Workday as a cloud based HRIS and targeted Absence and Leave Management alongside time tracking, payroll orchestration, compensation, and recruitment consolidation to establish a single system of record for HR data.
Workday Absence Management was configured to support standard absence lifecycle workflows consistent with Absence and Leave Management, including absence type classification, entitlement and accrual rules, approval routing, and time off request processing. Configuration work aligned global business processes with Workday business process frameworks, and included development of documentation and user guides for HR process owners and end users.
The deployment was architected as a centralized cloud tenant with extensive integration work, including design and testing of over 56 inbound and outbound interfaces. Explicit integrations and test coverage included local payroll systems, LMS, Time Keeping, Recruitment systems, ServiceNow, PeopleFluent, Active Directory, and Finance interfaces, with interface design documentation developed as part of the HRIS design effort.
Program governance centered on a single point of contact for Workday and HR systems, a formal test strategy covering systems testing, end to end testing, regression, and UAT, and a structured defect management process. Rollout activities included global UAT coordination across time zones, targeted training sessions, creation of test scenarios and requirement traceability artifacts in SharePoint, and a Hypercare plan for post production Day1 support.
The project objective was for Workday Absence Management to become the authoritative Absence and Leave Management system for QBE, ensuring Workday would function as the sole system of record for HR across the covered countries.
