The implementation emphasizes invoice capture and OCR extraction, automated indexing of invoice metadata, validation rules to surface exceptions, and workflow routing for approvals and exception resolution. Document storage and retrieval and audit trail capabilities are included as part of the application flow to support invoicing compliance and payment processing, with a PDF only intake policy enforced as the canonical input format for capture and processing.
Extracted invoice data is made available to downstream finance and AP processing channels to enable accounts payable teams to process invoices for payment and reconcile supplier billing as part of invoicing Queensland Health for payment. In 2016 Queensland Health implemented SAP S/4 HANA - Asset Management to establish an Enterprise Asset Management capability supporting asset lifecycle, maintenance planning, and asset master data management. The SAP S/4 HANA - Asset Management deployment focused on core asset operations and was structured to align maintenance execution with procurement and financial control processes.
The implementation incorporated multiple SAP modules to surface end to end asset workflows, including EAM for work orders and preventive maintenance, EWM for spare parts and warehouse coordination, MDG for master data governance, VIM for invoice handling, RE for real estate and asset location records, OPIM for operational procurement and inventory management, and FI-CO for financial posting and cost controlling. Configuration emphasized the interaction between EAM processes and inventory and procurement flows to ensure part availability for maintenance windows and financial reconciliation of asset expenditures.
Testing and integration activities were governed through formal system integration testing and regression cycles, with test management executed in HP ALM. Change request and incident testing were run through SIT and regression cycles, and UAT cycle support was provided using SAP Fiori front end and RF equipment for mobile warehouse interactions, with defect logging, status reporting, and retesting as core controls. Operational testing work was centered in Brisbane, Queensland, Australia, with named roles such as Senior S/4 HANA Test Analyst supporting test preparation, execution, and training task card creation.
Governance and process changes emphasized structured test management and controlled release practices, including defined defect lifecycle procedures, training task cards to support operational adoption, and UAT support to validate cross functional processes. Business functions explicitly impacted included maintenance operations, inventory and warehouse management, procurement, accounts payable, and finance, with master data governance inserted to stabilize asset and supplier records.
