In 2013 Stanford Health Care implemented UKG Workforce Central Absence Manager (ex Kronos Workforce Absence Manager) as its Absence and Leave Management solution, targeting time and absence workflows across industrial and consumer divisions. The UKG Workforce Central Absence Manager deployment was tied to Workforce Central versions 6.0 through 6.3 and focused on time collection, attendance and leave modules within the Absence and Leave Management category.
The implementation included full cycle configuration and upgrades of Workforce Central, including version 6.2 and 6.3 workstreams, and detailed setup of access profiles, pay rules, wage profiles, labour levels, schedules and shifts. Functional capabilities implemented included attendance, leave, accruals, scheduler and advanced scheduler configuration, creation of patterns and shifts, display profiles for Kronos Genies, custom reporting using Report Designer and Visual Studio, and maintenance of multiple Kronos time clocks with service pack management.
Stanford Health Care developed and automated named interfaces between Kronos and ADP HRizon using Oracle SQR and SQL, and leveraged WorkForce Connect processes to calculate gross pay, fringe benefits and vacation pay, and to update payroll and general ledger systems. Additional integrations implemented via Kronos Connect included Employee Demographics, Census, Accruals, Labour levels and Time Detail feeds into Lawson HR and payroll systems and Epic clinical systems, and the team supported mainframe payroll CYBORG and AP/GL transfers from DEC to AS400 PRMS.
Governance and operationalization included close collaboration with HR and payroll teams on interface reconciliation and outbound payroll file issues, maintenance of the Kronos master employee file for accurate payroll and W-2 reporting, and ongoing monitoring of Kronos transaction assistant for import errors. Project delivery incorporated requirements gathering through interviews, workshops and JAD sessions, GAP and impact analysis for proposed enhancements, creation of super user test plans, documentation of stakeholder importance levels, and training for managers and timekeepers on historical edits, delegation of authority and advanced scheduler operations.
The program performed multiple software and platform upgrades, maintained a common system setup across users, and successfully deployed Workforce Central across the covered population, with the implementation team reporting that the Kronos project finished on schedule and exceeded expectations. UKG Workforce Central Absence Manager continues to serve as the system of record for Absence and Leave Management functions within the implemented scope.
