In 2019 the State of Utah deployed Aavenir Invoiceflow to address high-volume IT invoice processing within its AP Automation landscape. The project targeted the Department of Technology Services finance workflows where DTS uses ServiceNow to evaluate business cases and where the DTS Finance team previously managed purchase requisitions, purchase orders, and invoice payments using in-house tools and custom ServiceNow tables.
Aavenir Invoiceflow was configured to capture multi-attachment vendor invoices, extract invoice and line item data, and apply automated PO matching and exception routing consistent with AP Automation capabilities. Configuration emphasized multi-line item parsing, handling varied payment terms, automated vendor and receipt reconciliation, and workflow-driven coding to reduce manual data entry and error-prone touchpoints.
The implementation integrated Aavenir Invoiceflow with ServiceNow records and the State’s custom finance tables to align invoice data with PO, receipts, and vendor master records. Operational coverage included the DTS Finance team and the central receiving center, and it addressed the State’s scale of 600 plus IT vendors and over 8,000 paper-based invoices per year, including invoices that arrived with multiple attachments by email or post.
Governance changes focused on centralizing invoice intake, instituting structured exception queues and approval routing, and creating auditable workflows that removed single-user manual matching as the operational bottleneck. The Aavenir Invoiceflow deployment positioned finance and procurement processes to collaborate through integrated ServiceNow records and automated AP Automation workflows, reducing reliance on manual checks for software and service receipts.
