Aavenir Legacy Aavenir Invoiceflow AP Automation ERP Financial Management n/a 2019 2019
In 2019 the State of Utah deployed Aavenir Invoiceflow to address high-volume IT invoice processing within its AP Automation landscape. The project targeted the Department of Technology Services finance workflows where DTS uses ServiceNow to evaluate business cases and where the DTS Finance team previously managed purchase requisitions, purchase orders, and invoice payments using in-house tools and custom ServiceNow tables. Aavenir Invoiceflow was configured to capture multi-attachment vendor invoices, extract invoice and line item data, and apply automated PO matching and exception routing consistent with AP Automation capabilities. Configuration emphasized multi-line item parsing, handling varied payment terms, automated vendor and receipt reconciliation, and workflow-driven coding to reduce manual data entry and error-prone touchpoints. The implementation integrated Aavenir Invoiceflow with ServiceNow records and the State’s custom finance tables to align invoice data with PO, receipts, and vendor master records. Operational coverage included the DTS Finance team and the central receiving center, and it addressed the State’s scale of 600 plus IT vendors and over 8,000 paper-based invoices per year, including invoices that arrived with multiple attachments by email or post. Governance changes focused on centralizing invoice intake, instituting structured exception queues and approval routing, and creating auditable workflows that removed single-user manual matching as the operational bottleneck. The Aavenir Invoiceflow deployment positioned finance and procurement processes to collaborate through integrated ServiceNow records and automated AP Automation workflows, reducing reliance on manual checks for software and service receipts.

CSS Impact Legacy CSS HD 2.0 LMS Loan Management ERP Services and Operations n/a 2021 2021
In 2021, the State of Utah selected CSS HD 2.0 LMS as its enterprise debt-collections platform to centralize receivables and deploy AI-driven digital collections across state agencies. The State of Utah implemented CSS HD 2.0 LMS, a Loan Management application, to consolidate finance and collections operations under a single platform for statewide revenue management functions. The deployment focused on establishing an enterprise debt-collections backbone that centralizes receivables data and exposes AI-driven digital collections capabilities to agency collectors and consumer-facing channels. Implementation scope covered finance and collections business functions across multiple state agencies in Utah, aiming to create a unified account ledger and consistent collections workflows. Configuration emphasis included a centralized receivables ledger, AI-driven digital communications and decisioning for collections prioritization, and automated workflow orchestration for payment arrangements and account segmentation. Standard reporting and audit capabilities were provisioned to support finance oversight and regulatory compliance, aligning with typical Loan Management functional requirements. Governance and rollout prioritized cross-agency standardization of collections processes, centralized configuration controls, and consolidated operational oversight to reduce fragmentation in receivables management. The program was intended to increase revenue management productivity and improve constituent service through more consistent, automated collections interactions.
