In 2016, The University of Alabama implemented SAP Concur Invoice as part of a broader SAP Concur deployment to digitize travel, expense and invoice management, positioning SAP Concur Invoice within an AP Automation strategy. The rollout was executed as a blitz style deployment, concurrently launching Concur Expense and SAP Concur Invoice for non-PO direct payments to address the highest-volume user base and eliminate paper-based campus mail workflows.
The implementation included configuration of Concur Expense, SAP Concur Invoice, and later Invoice Capture with OCR for incoming vendor invoices, with Concur Detect introduced to automate audit logic. Functional capabilities implemented include electronic expense submission and mobile receipt capture, electronic invoice upload and PO invoice processing, automated policy checks on submission, and rules-based front end audit screening using Concur Detect.
Operational coverage extended across Procurement Services, Accounts Payable, P-card administration, and faculty and staff across the Tuscaloosa campus, with the solution consolidated as the single system for expense, invoice and payment processing including P-card and advance spend. Document handling workflows were centralized so vendors could be paid via electronic upload, and PO and direct-pay invoice flows were unified under the SAP Concur Invoice processing model.
Governance and process changes included mandated user training as a gate for system access, a unified approval workflow reused between Concur Expense and SAP Concur Invoice to simplify routing, and policy enforcement at submission to shift compliance checks from approvers to the system. Training and change management were delivered through videos, online content and in-person classes, and access to reimbursement or payment submission required completion of the training.
Explicit outcomes reported by the University include average expense reimbursement within 2.5 days, PO invoice processing time cut by roughly half after digitization, growth in P-card volume from approximately 25 million dollars to 68 million dollars by 2019, automation of audits and duplicate detection via Concur Detect, and the reallocation of 3 to 4 FTEs to higher-value functions.
