In 2025, UNSW Sydney deployed ARCHIBUS by Eptura as its Facility Management platform to consolidate facilities information and standardize operational workflows for the university's Facilities Management function. The university manages over 220 buildings across roughly 139 acres and more than 7.5 million square feet, supporting 50,000 plus students and 5,300 staff, which drove the need for a centralized, web and mobile accessible system to replace dispersed spreadsheets and point solutions. ARCHIBUS by Eptura was configured with a broad suite of Facility Management modules including Space Management, Project Management, Clean Building, Emergency Preparedness, Condition Assessment, Asset Management, On Demand Work, Preventative Maintenance, the Archibus Mobile Framework, and Hoteling. The implementation emphasized a graphical space console for floor plan navigation, web-based and mobile data input, and online work request intake to enable real time access to FM data and standardize data capture across teams. Architecturally the program was delivered in a multi phase rollout that prioritized data consolidation and integrity during migration from spreadsheet sources, IT design and build involvement from Day 1, and establishment of an active project committee to govern scope and priorities. ARCHIBUS by Eptura was integrated with the university’s PeopleSoft finance system, with Archibus operating as a project sub-ledger carrying approvals while purchase order, invoicing and financial entries are shared with PeopleSoft to provide finance and facilities stakeholders with required management information. Governance and process changes accompanied the technical deployment, including delegation of annual space audit responsibilities to local units, simplification of building operations SLA workflows using a supervisor grouping scheme to two SLAs for unscheduled and scheduled maintenance, and mobile supervisor approvals via Archibus Mobile Framework. The rollout also introduced custom workflows to automate reactive maintenance approvals and a web-based work request channel to reduce manual logging and improve turnaround. Measured outcomes reported from the implementation include recovery of $500,000 in reactive maintenance costs through custom workflows, annual space audits completed in two weeks, a reduction in service calls manually logged by the FM department from 53 percent to 26 percent, tracking of approximately 46,500 assets with a replacement value near $250 million, management of 25,000 annual reactive maintenance requests and 54,000 annual preventative maintenance work orders with a combined billing value of $11 million, and PIMS-managed capital project value rising to $284 million. These results reflect ARCHIBUS by Eptura serving UNSW Sydney Facility Management operations across space, asset, project and work management domains.
