Workday Financial Management was configured to support core financial modules including Accounting, General Ledger, Foundation Data Model, Adaptive reporting, Suppliers, Expenses, Procurement, Customers, Billing, and Projects. The implementation included chart of accounts configuration, automated allocation processing, creation and booking of intercompany entries, and routine reconciliation workflows to ensure balances interface correctly into the financial reporting tool. Integrations were scoped to receive interface files from subsidiary systems and actuarial imports, and to exchange data with broader financial administration systems. Operational processes include nightly processing validation, pre-file reconciliation of reporting tool loads, testing and approval of interfaced accounting transactions to the general ledger, and availability for off-hour support to resolve interface failures or load issues. Governance and operational stewardship are anchored by an Executive Director, Workday Technical Accounting who acts as subject matter expert between Corporate Finance, IT, and business units. Responsibilities span requirements gathering, analysis, design, configuration, testing, change control for upgrades acquisitions and divestitures, reporting tool stewardship with segregation of duties controls, and ongoing application support and optimization for Trustmark’s Workday Financial Management ERP Financial environment.

Workday Absence Management was positioned as the system of record for time off and leave workflows, linking absence policies to employee seniority date and pay grade lookups to enforce eligibility rules. The deployment covered core functional modules including Time Off, Leave of Absence, Time Entry and approvals, delegations, prior period adjustments, holiday adjustments, and specialized time entry flows for Health + Fitness roles. Configuration included Workday Work Schedules and job aid driven processes for non exempt associates, exempt associates, commission and group class instructor time entry, and management of a Grandfathered Sick Leave Time Policy for TM and HB. Operational roll out and enablement emphasized role based training and resources, all associates including managers were asked to complete a 45 to 60 minute associate course, Health + Fitness part time associates scheduled under 30 hours per week completed an abbreviated 15 minute course, and managers completed the associate course plus an additional 45 to 60 minute manager course. Governance was reinforced through manager meetings and demos held in February and July, a consolidated glossary, frequently asked questions, and a set of time tracking and absence job aids to support approvals and delegations. The implementation narrative centers on Workday Absence Management as the operational tool for Absence and Leave Management, supported by structured training, role specific job aids, and manager led governance to standardize absence workflows.

Training and handoff processes were put in place to enable business users to maintain dashboards and govern publication and versioning.
