SAP Legacy SAP S/4 HANA Finance ERP Financial ERP n/a 2018 2018
In 2018, University of Leeds implemented SAP S/4 HANA Finance as its ERP Financial platform, establishing a university-wide finance foundation to align HR, procurement, and finance processes. The implementation covered core financial control plane requirements while explicitly supporting cross-stream work between HR, Finance, and Procurement teams. A dedicated Business Analyst was engaged on the program, primarily operating in the HR stream while collaborating with Finance and Procurement streams to capture requirements and validate configurations. The SAP S/4 HANA Finance deployment focused on standard ERP Financial capabilities, including chart of accounts harmonization, general ledger configuration, accounts payable and receivable workflows, asset accounting and period close orchestration. SAP S/4 HANA Finance was configured to support integrated P2P and HR payroll-facing data flows, with the Business Analyst driving requirements for HR-related master data, role mappings and security requirements. Functional workstreams emphasized transactional integrity, financial period close sequencing and role-based access for university administrative and academic units. Operational governance centered on cross-functional coordination across faculties and central services, with the Business Analyst acting as a liaison between HR functional leads and the finance configuration team. Testing and requirements traceability prioritized end-to-end scenarios that spanned HR onboarding to payroll-related finance postings and procurement invoice processing. The narrative for SAP S/4 HANA Finance at University of Leeds describes a program-level ERP Financial implementation with integrated HR, Finance and Procurement streams and a dedicated analyst resource ensuring cross-stream alignment.

SAP Legacy SAP HCM (HR) Core HR HCM n/a 2003 2003
In 2003 University of Leeds implemented SAP HCM (HR) in a Core HR deployment focused on centralizing HR operations and payroll reporting. The program established a responsibility to develop, maintain and support the SAP HR and payroll system across the institution. The implementation included a pilot ESS MSS rollout for 250 plus users to automate the holiday booking process, provide employee access to view and amend selected HR data, and enable managers to view team information and run SAP and Business Warehouse reports. SAP HCM (HR) configuration covered all services available to users, portal configuration created new areas pages and iviews, and the Manager Self Service design was redesigned to improve usability. Authorisations were handled by amending SAP standard delivered roles to meet University of Leeds requirements. Operational reporting and analytics were expanded through SAP Business Warehouse development, which incorporated higher education specific infotypes in addition to SAP Business Content. The team developed ad hoc query infosets for flexible HR reporting and created HR payroll infotypes to report monthly and cumulative payroll information without direct payroll cluster access. Work with SAP supported a program to deliver the Higher Education Statistics Agency statutory staff return and SAP HCM (HR) was configured to meet the evolving HESA data requirements. Governance and rollout included presentations to senior management and business customers to highlight ESS MSS capabilities and benefits, plus development and roll out of a Managers Desktop with view only and reporting access to HR contacts across the university. Training documentation and delivery accompanied the Managers Desktop rollout, and support processes were established to maintain the SAP HR Payroll system and user authorisations. Documented outcomes include development of HR Management Information Packs using BW Excel workbooks which reduced quarterly production time from one day to five minutes. The HESA program remained an ongoing project as statutory return scope expanded from around 1800 records in 2001 to approximately 16000 records by 2009, demonstrating sustained configuration and reporting maintenance requirements.

OpenAthens Legacy OpenAthens Compass Analytics and BI Analytics and BI n/a 2019 2019
In 2019, University of Leeds deployed OpenAthens Compass as part of a library e-resources authentication migration. The deployment replaced WAM with OpenAthens Compass during the university library move to Alma, aligning authentication and access provisioning with the Alma resource management workflow. OpenAthens Compass is an Analytics and BI application used to centralize access and reporting on publisher authentication events. Configuration emphasized instrumentation for authentication tracking, resource onboarding reporting, and publisher access diagnostics, leveraging the analytics and reporting capabilities of OpenAthens Compass. Implemented functional capabilities included access events reporting, publisher entitlement mapping, and dashboards to surface authentication success and failure patterns for library staff to troubleshoot access issues. Integration points explicitly included the Alma library management system for resource inventory and entitlement alignment and publisher authentication endpoints to reduce cross-publisher access failures. Operational scope was Leeds University Library in the United Kingdom, focusing on e-resources access management, publisher onboarding workflows, and librarian-facing reporting. Governance was adjusted to centralize authentication monitoring and reporting within library operations, with process changes intended to streamline publisher authentication and reduce access problems as described in the source case study. The deployment positioned OpenAthens Compass as the Analytics and BI layer to instrument authentication workflows and support ongoing access troubleshooting.
