The implementation included explicit integrations and coordination with adjacent systems, including regular census file feeds to the 401k system managed by Fidelity, and operational alignment with a concurrent HRIS program using Infor where the team collected and prepared employee data for upload. The Employee Services organization also partnered with a third-party vendor for unemployment claim handling, preserving the connection between benefits administration tasks and broader HR service delivery.

In 2015 St. Joseph's/Candler implemented BenefitWerks for Benefits Administration to digitize its annual enrollment across two hospital sites and more than 3,000 employees. The BenefitWerks application provided a web based online enrollment solution that automated a previously paper based and highly labor intensive open enrollment process, centralizing employee elections, enrollment guides, and forms in an electronic repository.
The implementation configured core Benefits Administration capabilities in BenefitWerks, including web enrollment workflows, secure electronic storage of enrollment records and plan documents, comprehensive reporting, and a custom built COBRA administration module. BenefitWerks was provisioned to manage plan elections, documentation storage, and recurring reporting requirements that support HR and Finance functions.
Technical integration work fed demographic data from the hospitals' systems into the BenefitWerks database and established payroll deduction feeds to downstream payroll processing. A seamless single sign on flow was created to allow employees to access BenefitWerks from the internal network without a separate login, and data flows were extended to the organization’s medical, dental and vision providers to streamline vendor enrollment communication.
Rollout and operational governance were driven by close collaboration between BenefitWerks and St. Joseph's/Candler IT and HR teams, extensive testing prior to production, and targeted training for HR staff to operate and optimize the system. Post implementation outcomes reported by St. Joseph's/Candler included halving the time required for annual enrollment from ten days to five days, elimination of printed enrollment forms and guidebooks with significant printing cost reduction, improved employee satisfaction through 24 7 access, and simplified reporting for senior management and Finance, with anticipated additional administrative savings from the newly implemented COBRA module.
