Configuration emphasized functional modules aligned to the company’s operational notes, including accounts payable processing, bank and credit card reconciliations, inventory purchases and receiving transaction tracking, and maintenance of fixed assets and prepaid account schedules. The system was used to record monthly sales transactions for US and Europe, and to support sales tax and VAT reconciliation and filing for multiple state agencies and European VAT responsibilities. Month-end close workflows were implemented within the application to capture accruals and selected balance sheet and income statement accounts. Operational coverage extended across accounting, treasury, tax, and warehouse cost accounting, with processes to monitor and reconcile warehouse labor and overhead, customs, duty, trucking and ocean freight costs associated with inventory transfers from a China warehouse. Daily cash and line of credit balance monitoring, weekly cash projection preparation from open payables, and daily company credit card balance checks were operationalized through QuickBooks Desktop PRO transaction workflows. The implementation supported cross-border sales bookkeeping by combining US state sales tax and European VAT recordkeeping in the same desktop accounting environment. Governance and process changes accompanied the rollout, formalizing monthly reconciliation schedules, bank and credit card reconciliation cadence, and a month-end close checklist used by the Staff Accountant role based in Monrovia. The Staff Accountant role drove inventory transaction review, accounts payable handling, sales tax and VAT filings, and coordination for annual audits through the QuickBooks Desktop PRO company file.
