In 2018, Craig & Rhodes implemented Abtrac as its Project Portfolio Management application. Abtrac was adopted to centralize project accounting, invoicing and reporting workflows used by the Accounts team, the Office Manager, Project Managers and senior Management.
The implementation emphasized Abtrac invoicing and accounts receivable capabilities, with daily receipting of invoice payments processed in Abtrac and invoice creation and amendment performed inside the Abtrac application. Functional configuration included Work In Progress reporting, project costing reports, aged accounts receivable reports and invoice reporting, and the preparation of claim schedules to accompany client invoices. Ongoing administration, maintenance and demonstrated competence in using Abtrac were explicit operational expectations for the finance and administration staff.
Abtrac was operated alongside the firm accounting system Xero, with accounts reconciled daily between Abtrac and Xero and month end reporting provided to the Office Manager. Operational coverage was centered on the Accounts department and extended to Project Managers and Management for project-level financial visibility, with Abtrac serving as the project financial record and Xero as the formal accounting ledger.
Governance around the solution codified daily reconciliation routines, the monthly reporting cadence to the Office Manager, and responsibilities for raising and sending invoices to the relevant recipients. Administration and competence in the Abtrac software system were maintained as part of the firm’s process controls to support invoicing accuracy and project financial reporting.
