In 2017, Melba Support Services upgraded to Microsoft Dynamics NAV as its ERP Financial platform, engaging Evolution Business Systems (EBS) to lead the implementation. The decision followed a market evaluation driven by a sector shift from group-based service delivery to more individualised support, which required granularity in financial reporting for roughly 60 supported individuals and their families.
The implementation centered on financial management and reporting capabilities within Microsoft Dynamics NAV, configured to deliver transaction-level visibility, invoice drilldown, and dimensional reporting that maps funding to individual service users. Configuration emphasized user-facing report formats for families and internal dashboards for business managers, with workflows tuned to provide daily reconciled and real-time financial positions.
Evolution Business Systems implemented bespoke reporting configurations and workflow automation to address reporting and data complexities and to ensure secure, up-to-date information availability. Operational coverage focused on finance and business management functions responsible for service user funding, with reporting outputs consumed by internal teams and by families to track individual funding balances and transactions.
As a result, Microsoft Dynamics NAV provided Melba with layers of business insight, real-time accurate reporting at the individual level, and the ability to access invoice-level transactions for rapid query resolution. EBS's implementation approach prioritized listening and tailoring, which supported changes to reporting governance and produced a flexible ERP Financial solution that Melba can scale as the organisation grows.

In 2012 Pancake Parlour implemented Microsoft Dynamics NAV as an ERP Financial application to centralize accounting and reporting across its Melbourne restaurant chain. After a competitive tender in 2012 the company engaged Evolution Business Systems EBS to upgrade the business management platform to the latest release of Microsoft Dynamics NAV, with selection criteria emphasizing cultural fit and sustained post go live support.
The Microsoft Dynamics NAV implementation focused on core financial modules and reporting capabilities. Functional configuration included Accounts Payable processing for high volume invoice throughput, Accounts Receivable for retail customer invoicing, and the Financial Reporting module with configurable profit and loss statements. The deployment enabled ad hoc export to Excel from Dynamics NAV and report customization to add new restaurants into consolidated P and L outputs, improving financial data accessibility for restaurant and line managers.
Operational scope covered centralized financial operations across 12 restaurants in the Pancake Parlour group, with Accounts Payable processing approximately 500 invoices per week and Accounts Receivable used to bill retail customers including Woolworths and Coles. Microsoft Dynamics NAV was provisioned to serve restaurant managers and central finance users, delivering a single source of transactional and reporting data across sites.
Governance and ongoing serviceability were delivered through EBS, which provided a managed upgrade, on-site changeover support and continuing application support. The changeover was reported as smooth with hands on vendor involvement during cutover, and the implementation outcome delivered greater flexibility to export and manipulate financial data in Microsoft Dynamics NAV, customizable financial reports, and improved ease of use for operational staff.

Non Profit | 120 | $14M | Australia | Microsoft | Microsoft Dynamics 365 Business Central | ERP Financial | 2019 |
In 2019, Ramahyuck deployed Microsoft Dynamics 365 Business Central as its ERP Financial solution to address growing program complexity and grant reporting needs. The decision followed a six month evaluation and a vendor selection process that engaged Evolution Business Systems as the implementation partner, with deployment work underway by October 2019 and project management and key user workshops run onsite in the second half of the year.
The Microsoft Dynamics 365 Business Central implementation encompassed core financials, electronic purchase ordering, automated reporting with Jet Reports, and a payroll configuration using Payroll Easy that includes an employee portal. Configuration emphasized project based profit and loss tracking to support more than three quarters of the 14 million dollar annual budget being program restricted, plus faster bank reconciliation and payroll processing workflows to suit a small finance team.
Integrations were implemented to pull transactional and activity data from external clinical systems at the dental clinic and medical clinic, and from a point of sale system at a small gallery, consolidating those feeds into Business Central for unified program reporting. The solution was configured for compatibility with Microsoft Office applications to preserve user productivity across the organisation, and Business Central was the central ledger for program P and L reporting across Ramahyuck operations.
Governance and rollout used a staged project plan developed with EBS and the organisation’s key users, including formal training sessions and EBS user group participation. Planned on site training and a March go live for core Finance were impacted by COVID 19 which led the organisation to delay the Payroll Easy go live until July 1 2020, with remote training and support used to complete the transition.
Post go live Ramahyuck reported measurable operational benefits that were part of the implementation narrative, including substantial time savings for month end and board reporting, streamlined audit and end of financial year processes, and reduced manual purchase order administration. The finance team reported increased capacity to engage in program planning and reviews, and Ramahyuck cited strong ongoing support from Evolution Business Systems as a factor in adoption and user confidence.
