In 2025 Starlight Children’s Foundation Australia selected and deployed Workday, going live with Workday Finance, Payroll, Absence, HR (HCM), Recruiting, Scheduling and Time Tracking to replace seven legacy systems. The deployment delivered Workday Recruiting as the new application for its Recruiting / Applicant Tracking System needs and was completed in a condensed six-month implementation timeline. Kainos served as the implementation partner, with IT consulting support from HC2 Consulting and engagement from Workday during the cutover.
The implementation was structured as a unified platform rollout across core HR and finance functions, consolidating disparate processes into a single Workday estate. Key execution details include business-led data migration—business teams were trained on Power Query and owned data transfer, validation and issue resolution—and appointment of business leaders as stream leads to drive configuration and adoption. The project emphasized using the Workday model out of the box (adopt and adjust) to avoid complex custom configurations.
Stated benefits from the go-live include improved efficiency, transparency and user experience. The team highlighted three operational learnings: empower business leaders as stream leads, make the business responsible for data migration, and limit custom configurations by leveraging the platform’s standard design.

In 2025 Starlight Children's Foundation Australia implemented Workday Absence Management as part of a multi-module Workday deployment. The rollout included Workday Finance, Payroll, HR HCM, Recruiting, Scheduling, and Time Tracking, delivered as a unified platform to support HR, payroll, finance, recruiting, and workforce scheduling functions across the organisation in Australia.
Workday Absence Management was configured to deliver standard Absence and Leave Management capabilities, including absence tracking, leave accrual calculations, approval workflows, and operational reporting. The implementation emphasized configuring the application in line with its native data and business process model to minimize bespoke customization, and applied role-based security and tenant configuration to align access across HR and payroll teams.
Data migration and cutover were business-led, with the internal team trained on Power Query to own extraction, transformation, validation, and issue resolution throughout the program. The program achieved go live in six months, with implementation partner Kainos and IT consultants at HC2 Consulting coordinating tenant configuration, testing cycles, and production cutover alongside support from Workday.
Governance was structured around empowering business leaders as stream leads, embedding subject matter experts into testing and acceptance workflows, and adopting an adopt and adjust principle to resolve configuration decisions without breaking the standard model. Reported outcomes included improved efficiency, transparency, and user experience across HR and payroll processes, while risk controls focused on business-led data validation and partner-supported cutover activities.
