In 2017, AAA Insurance Claims deployed Bottomline Legal-X to manage Legal Time and Billing across its claims organization. The Bottomline Legal-X implementation was positioned to support claims invoicing and payment activities related to auto and home lines, and to align legal billing with claims handling workflows used by ACMO-Claims Specialists and Claims Service Representatives in St. Louis, MO and across ACMO territory and other states.
Bottomline Legal-X was used for invoice receipt and invoice management, legal time and billing capture, processing of Legal X invoices and arbitration invoices, and payment processing workflows. The implementation included weekly reconciliation of Legal X invoice reports and a routine for processing payments tied to arbitration and external counsel invoices, establishing a regular cadence between billing intake and claims finance actions.
Operational integration included handling file loss folders claims delivered via EDI, with Legal X invoices associated to EDI-assigned auto and home adjusters entering the billing workflow. The system was instrumented to feed invoice and payment activity into claims operational processes, enabling Claims Specialists to receive, validate and act on vendor invoices as part of first notice of loss and ongoing claims administration.
Governance and process controls centered on claims finance responsibilities for invoice receipt, payment authorization and weekly reconciliation, with Claims Specialists performing invoice processing and customer support related to auto and home losses.
