Alston & Bird Bottomline Legal-X Legal Time and Billing managed the firm level workflow for submitting electronic bills to large, detailed clients and enforcing client-specific billing guidelines. The Bottomline Legal-X deployment supported core capabilities including timekeeper maintenance, attorney rate management aligned to client billing guidelines, task code mapping, fee offers, preparatory prebills, and adjustments such as edits, transfers, discounts and write offs. Workflows included preparing prebills, running standard and ad hoc billing reports, and maintaining attorney-facing spreadsheets to support accurate time entry and billing compliance. Operational integrations were executed via electronic billing channels, with staff submitting bills through Datacert, Tymetrix360, Counsellink, Collaborati, LegalPrecision, Serengeti and Legal Exchange among other e-billing vendors. The implementation required interpretation and encoding of client billing rules for task codes, fee structures and block billing requirements to ensure successful bill acceptance by third party vendor portals. Governance and operating model changes included rotating responsibility for the Billing Desk inbox and hotline across the team to handle the firm wide volume of requests, monitoring accounts receivable and unbilled time and cost reports, and responding to client inquiries to support timely collections. Bottomline Legal-X was positioned as the firm level Legal Time and Billing system to standardize billing processes, maintain compliance with client e-billing rules, and provide centralized operational control of fee submission and billing administration.
