In 2021, Asian Paints implemented SAP S/4 HANA as the core ERP Financial platform to underpin automation of trade promotion execution and GST tax reconciliation across its dealer and finance operations. The deployment targeted sales and finance business functions, enabling rule-driven pricing, scheme calculations and tax processing to simplify ordering for field sales teams and dealers.
The implementation combined SAP S/4 HANA transaction and master data with an automation layer built around IBM Operational Decision Manager and the IBM Cloud Pak for Business Automation. Business rules were codified to calculate discounts and promotional schemes, to recommend product mixes that align with scheme targets, and to drive automated order eligibility checks via a portal interface used by sales teams and dealers. The vendor invoice processing platform was developed in-house using IBM Business Automation Workflow and was integrated into the decision flows to enforce tax-related controls.
Architecturally, sales and invoice data flows originate in SAP S/4 HANA and feed the ODM decision service, which evaluates dealer history, seasonality and credit parameters to produce scheme and tax outcomes in near real time. When GST mismatches are detected, ODM raises alerts and triggers the in-house vendor invoice processing platform to flag and block payments pending review. The project followed a joint development model with IBM Lab Services delivering the initial decision logic and Asian Paints operations and IT teams taking ownership for ongoing optimization.
Governance and rollout followed an agile, proof of concept first approach, with prioritized use cases validated in collaboration between business lines and IT before scaling. Operational ownership was transferred to Asian Paints after the initial delivery, supporting continuous refinement of business rules and expansion of automation coverage across dealers and finance workflows.
Outcomes explicitly realized include faster dealer ordering and automatic calculation of promotional entitlements, prevention of incorrect tax payments through invoice blocking, and a reduction in GST invoice matching time from four days to one day, thereby lowering the operational burden on finance and procurement teams.

In 2016, Asian Paints implemented SAP SuccessFactors Employee Central as its Core HR platform to centralize employee master data and HR workflows across business units. The SAP SuccessFactors Employee Central deployment included a focused rollout of SuccessFactors EC and EP for three IBU units and was managed by HR business partners and an IT SuccessFactors lead acting as the single point of contact for HRIT activities.
Configuration work centered on core Employee Central data model and Employee Files using admin tools, with export and import of foundation and user data to populate the system. Functional capabilities addressed through the implementation included Performance Management, Compensations, Competency Mapping, Skill Mapping, On-Boarding and Exit Formalities, and ELC form launches such as PFMS, PSPR and PLM to support confirmation and review workflows.
Operational tasks implemented alongside the software included handling payroll inputs, executing mass data changes, creating ad hoc reporting and dashboards, and running quality assurance checks on system configuration and workflows. The implementation supported policy harmonization across divisions, plants and the corporate office, and covered annual salary revision processes, recruitment inputs for lateral and campus hiring, and training needs analysis and program delivery tied to system workflows.
Governance and process controls were formalized through template management, form template settings, route maps, email notification template settings, scheduling of reviews, change of form dates and rating scale configuration. Ongoing operational ownership included maintaining support documentation, delivering user training for ELC, Performance and Employee Central modules, and meeting SLAs for confirmation and performance review processes, with the HRIT SuccessFactors lead receiving formal recognition for contribution to the SuccessFactors effort.

Integrations were structured around the SAP S/4HANA core, with SAP BW/4HANA providing simplified enterprise reporting and analytics, and SAP Manufacturing Integration and Intelligence supplying real-time manufacturing intelligence. The scope of operational coverage explicitly included manufacturing, warehouse operations, finance and controlling, and master data domains, enabling real-time credit checks and elimination of manual finance and controlling reconciliation processes.
Governance and process changes emphasized centralized master data maintenance for customer and vendor records, standardized finance and closing workflows, and exception-driven shop-floor alerts to accelerate issue resolution. SAP Services and Support provided planning through migration to go-live support, and post-implementation results documented faster internal audit and closing processes, simpler maintenance of customer and vendor data, real-time credit checks, increased manufacturing throughput with fewer resources, unified packing-line automation, and improved control of complex warehousing and material flow.
