In 2018, Biotechnology Innovation Organization implemented Sage Intacct as its core ERP Financial system, migrating from Microsoft Dynamics GP. The deployment centralized finance operations for the roughly 200 employee professional services organization and prioritized Accounts Payable modernization. Implementation governance was led by the Director, Accounts Payable in partnership with the Controller to drive system and process change initiatives across finance.
Sage Intacct configuration emphasized Accounts Payable automation, vendor payment processing including EFT batch submission and Positive Pay check file preparation, invoice approval workflow with soft submissions, general ledger and month end close support, fixed assets tracking with depreciation and amortization, bank reconciliation across ten accounts, 1099 filing workflows, and budgeting and financial reporting. The solution was set up to manage accruals, prepaid items, departmental coding, and AP team productivity monitoring, while supporting the AP team workflows and audit preparation tasks. Administration of corporate card programs and T&E controls was included as part of the financial module configuration.
The implementation included integrations with the organization T&E system ExpenseWatch and the American Express management portal Amex@work, and direct bank connectivity to support EFT and Positive Pay processes. Operational coverage extended across Finance, Accounts Payable coordinators and managers, and required cross-department collaboration to handle approvals, expedited payments, and vendor issue resolution. Integration design focused on capturing expense reports and card charges upstream for automated posting into Sage Intacct.
Governance changes formalized centralized AP ownership, approval routing, and audit support processes, with the Director of Accounts Payable serving as primary audit contact and program administrator. The team documented and restructured AP workflows, reconciliations, and month end close procedures, and explicitly reported significant enhancements to AP processes that streamlined and automated previously manual tasks. Sage Intacct became the organization financial system supporting these controls and operational workflows.
